Download your sales for your accountant in your country's format (DATEV, FEC, Journal CSV or detail per order), and what the accountant should check before the first import.

ODS turns your sales into the file your accountant's software can read. You choose the format and the period, download, and send the file. Nothing to type again.

Where to find the export

  • Settings → General → Comptabilite tab, Accounting export card: you choose a Month.
  • Dashboard → Sales tab, Accounting export button: the export uses the period shown on the page.
  • Dashboard → Treasury tab, Exports & compliance block, Accounting export line: the period of the page too.

If the Sales / Treasury tabs do not show, tap Version 2 at the top of the page.

Download the file

  1. Open Settings → General → Comptabilite tab.
  2. In the Accounting export card, choose the Format. The usual format of your country comes first.
  3. Choose the Month. The current month stops today.
  4. DATEV only: if needed, enter the DATEV consultant number (optional) (7 digits) and the DATEV client number (optional) (5 digits). Your accountant gives them to you.
  5. Tap Download.

Tip: one export covers at most three months. For a longer period, export month by month.

DATEV

A standard DATEV batch (« Buchungsstapel »): format EXTF 700, category 21, Windows-1252, ; separator, decimal comma, document date DDMM, positive amounts with S (debit). Account = the payment account, contra account = the revenue account. Amounts are gross: the revenue accounts are DATEV automatic accounts. A gap between what was paid and what was sold (a tip left in the till) goes to a suspense account.

Example (made-up figures): 120.00 € of drinks at 19 % and 380.00 € of food at 7 %, paid 300.00 € by card and 200.00 € in cash.

FEC (France)

The French legal journal file: 18 columns, | separator, dates YYYYMMDD, decimal comma.

  • Sales journal VE: one entry per paid order (document ODS- + order number): debit 512000 (card), 531000 (cash), 580000 (anything else); credit 707000 (sales excluding VAT, per rate) and 445710 (VAT collected).
  • Refunds: a separate credit note (document AV- + order number) dated the day of the refund.
  • Purchases journal AC: one entry per paid supplier invoice: debit 601000 and 445660, credit 401000.

Journal CSV

A plain debit / credit journal, one line per posting, ; separator, decimal point, UTF-8. Columns: date, journal, reference, account, label, debit, credit, VAT rate.

The accounts follow the Country of your restaurant: Swiss SME chart (KMU) in Switzerland, PCMN in Belgium, the Tunisian chart in Tunisia, the French chart (PCG) in France, SKR03 in Germany and Austria.

Warning: in every other country (Italy, Spain…), ODS uses the French chart of accounts (PCG) by default. Your accountant maps them in their software, or we set other accounts for you on request: contact@ordering-dashboard-solution.com.

Detail per order (Excel)

One row per paid or refunded order: order number, date, time, type, status, total, subtotal before discount, discount, tip, ODS service fee, refunded, then the amount per payment method (cash, card, meal voucher, other, loyalty points).

What the accountant should check before the first import

  1. The accounts: cash, card, meal vouchers, sales per VAT rate, VAT, suspense account.
  2. The VAT rates: they come from Settings → General → Comptabilite tab and from each dish.
  3. A test month: import a month already closed and compare the total with your Z reports.
  4. The suspense account: an amount there means that on one day, paid and sold were not equal.
  5. DATEV: consultant and client numbers, 4-digit accounts.

Tip: close each day (Z report) before exporting the month. The day's figures no longer change afterwards.
